Under direction of the Vice President of Operations, conduct the day-to-day operation of properties under management in order to maximize the value of the asset, achieve the goals set forth by the owner, comply with all regulations, satisfy tenants, and further the reputation as a top-quality property management firm.

Duties include:
- Tenant Relations
- Proactively build and nurture positive relationships with members of tenant organizations
- Represent THE COMPANY as a customer service agent to all THE COMPANY customers both internal and external
- Coordinate all tenant move ins and move outs
- Manage building, tenants, lease correspondence files, etcetera in organized fashion per management agreement
- Assist Development/Construction team with Tenant Improvement projects
- Property Management Department specific activities
- Cultivate new property management relationships
- Assist in the creation and negotiation of all management contracts
- Represent THE COMPANY with tenant inquiries and meet with tenants as needed
- Meet with owner’s to review operating budget, identify and resolve problems and maintain understating of roles and goals
- Lease Administration
- Maintain a full understanding of relevant leases and be a resource for THE COMPANY.
- Maintain database of current leases and abstracts for all properties under management
- In coordination with lease accountant, create or update lease abstracts for all new leases and renewals
- Assist in the creation and negotiation of new tenant leases
- Maintain an accurate record of all security deposits
- Maintain a current and accurate rent roll for each property under management
- Monitor tenant insurance certificates and compliance with lease terms
- Manage legal issues including evictions, collections, judgments and small claims
- Facilities Management
- Regularly inspect properties ensuring THE COMPANY standards are met and property is managed and maintained to the highest level
- In coordination with the Director of Operations, negotiate and manage all utility and building service contracts
- In coordination with the CFO, negotiate and manage all property insurance contracts
- Manage and process all insurance claims
- Work with maintenance staff to facilitate and execute properties operating budget
- Property Budget Administration
- Prepare annual operating budgets and capital budgets
- Prepare CAM budgets and CAM reconciliations for all properties in compliance with lease terms
- Prepare and review tenant billings for accuracy
- Review and collection of tenant rents and other receivables
- Review, code and approve all accounts payable invoices
- Marketing and Leasing
- Work with Marketing and Leasing team in creating strategies by adding constructive input specific the buildings
- Coordination of Lease Renewals
- Establish a process for identifying upcoming renewals (18-months in advance) for commercial properties
- Make first contact with tenants regarding renewal of lease
- Negotiate and document lease renewals for tenants that wish to stay
- Refer to Brokerage any tenants who do not wish to renew or wish to explore options
- Participate in overall Asset Management activities for each property
- Coordinate with Accounting, Brokerage and Development departments to provide reports to building owners per management agreements and other arrangements
- Assist with investor relations
- Provide internal communication reporting per the Company’s strategic initiative regarding communication
- Participate in creation of detailed strategic plans for each asset
- Assist with evaluation of new lease proposals
- Participate in company-wide management activities
- Completion of Company Strategic Plan initiatives
- Assist in the evaluation of potential acquisitions or new assets
- Duties as otherwise assigned by the Director of Operations or Managing Partners
Qualifications:
- Customer Service oriented
- High level of organization and attention to detail
- Familiar with applicable local, state, and federal laws and regulations (Tenant/Landlord Acts, evictions, credit checks, non-payment procedures).
- Strong interpersonal & business communication skills
- Must be able to communicate effectively with people in a calm and friendly manner
- Vendor relationship/management skills
- Flexibility with schedule in a 24/7 environment
- Competence with office management software
- Knowledge of financial reporting
- Advanced computer skills including proficiency in Microsoft Office applications
- Experience with Yardi preferred
- Michigan State Real Estate Sales Person License preferred
- Must have a valid driver’s license and automobile insurance.
Education and/or experience:
- Minimum 5 years related Property Management experience required. High School diploma or general education degree (GED) required
- Bachelor’s degree preferred
